Executive Assistant

Job Description

The Executive Assistant will provide overall administrative support to Common Core’s President and senior staff. He/she will have overall responsibility for the smooth functioning of all activities associated with the Office of the President, including support to the Board of Trustees, high-level external communications, meetings management, internal office management, liaising with project leads, etc.

Specifically, the Executive Assistant will:

  • Provide services essential to the mission of the organization and the daily operations of the Executive Office.
  • Assist management of the overall Common Core office, Project and Event calendar (familiarity with Microsoft Project™ or managing an office calendar is a plus).
  • Schedule meetings, coordinate some travel arrangements (light), and manage the President’s daily calendar and appointments.
  • Prepare and distribute Board books and materials, including maintenance of Board bylaws and amendments.
  • Take Board minutes and handle Board meeting logistics for semi-annual meetings. This includes taking minutes for and scheduling monthly executive committee calls.
  • Assist the Director of Finance and Administration with responsibilities that support general office administration, including HR files and documents, file maintenance, technology license tracking, and organizational procedures manual.
  • Participate in document preparation and serve as ‘final review’ of office documents and President’s correspondence. These may include using new media and writing blogs.
  • Assist with preparing written materials for grant proposals, developing educational resources, and reports.
  • Research and assist in writing in the area of education policy, making strong writing skills essential.
  • At times, support the needs of other senior staff which may include travel, scheduling or preparing for professional development trainings, off-site events, and meetings.
  • Oversee and as needed, provide general office support of mail-handling, copying, answer phones, ordering office supplies, and other tasks.

The Executive Assistant works full-time from Common Core’s Washington, DC offices. Full benefits are included. Compensation depends on experience.
